Walk-in, phone or online — the same three taps

  • Search a patient by name or phone, or add a new one in the same box.
  • Pick the doctor and a free slot; taken slots are simply not offered.
  • The patient gets a token and, if you have their consent, a confirmation on WhatsApp.
  • A phone number typed as 98xxxxxxxx or +91 98xxxxxxxx is the same patient, not two.

The queue

A live queue the whole clinic can see

  • Tokens are issued in order and move as the doctor works — waiting, called, in consult, seen.
  • A separate waiting-room display shows the current token and who is next.
  • The doctor sees the same queue from the consult screen and calls the next patient from there.
  • Reception can pull a patient forward or send them back without renumbering everyone.

The awkward parts

Reschedules, cancellations and no-shows

  • Move an appointment to another slot or another doctor without retyping anything.
  • A cancelled slot goes back on the booking page immediately, so it can be filled.
  • No-shows are marked, not deleted, so you can see who never turns up before you give them a prime slot.
  • Everything that changed is in the audit trail, with who changed it.

Who can see what

Reception sees the desk — today, the queue and payments. Reports, staff settings and platform settings are not on their menu, and typing the address does not get them in either.

What reception asks

Can we still take walk-ins?

Yes — most Indian clinics run mostly on walk-ins. A walk-in is added in a few seconds and joins the same queue as booked patients. Booked patients keep their slot; walk-ins fill the gaps.

What does the waiting room see?

A display screen showing the current token and who is next, with names shortened to a first name and a surname initial. Showing a full name in a waiting room is a decision the clinic has to switch on, not a default.

How do we handle a doctor running late?

The queue is an order, not a set of fixed clock times, so it simply moves. Patients who booked online can be sent a message if you want to warn them.

Can two doctors run at the same time?

Yes. Each doctor has their own slots, their own queue and their own token series, and the front desk sees them side by side.
